1. Who is responsible for your data
High Value Logistics ("HVL", "we", "us", "our"), based in Belgium, is the data controller for the personal data described in this policy. For any question about this policy or your data, contact us at Info@HighValueLogistics.com. Given the size of our organisation, we are not required to appoint a Data Protection Officer, but the contact above is handled personally by our team.
2. What data we collect
Data you give us directly — when you submit our contact / transport request form: your name, email address, phone number, requested route (origin and destination), and any details you share about your vehicle or transport.
Data collected automatically — when you browse our site, our hosting provider and analytics tool may automatically collect your IP address, browser and device type, pages visited, and approximate location (derived from your IP), through cookies and similar technologies. We do not knowingly collect any special category data (e.g. health, religion, political opinions) and our services are not directed at children.
3. Why we process your data, and on what legal basis
To respond to your transport request
We use the details from our contact form to answer your enquiry and prepare a quote. Legal basis: your consent (given when submitting the form) and, where a transport is agreed, the performance of a contract with you (Art. 6(1)(a) and (b) GDPR).
To understand and improve our website
Where you have given cookie consent, we use Google Analytics to understand how visitors use our site (e.g. which pages are viewed, how long, and from which country) so we can improve it. Legal basis: your consent (Art. 6(1)(a) GDPR).
To keep our site secure and functioning
Our hosting provider processes technical data (such as IP address) to serve the site and prevent abuse. Legal basis: our legitimate interest in operating a secure, reliable website (Art. 6(1)(f) GDPR).
4. Who we share your data with
We do not sell your personal data. We share it only with the service providers ("processors") that help us run this website and our business:
- Netlify, Inc. — our website hosting provider, which also processes contact form submissions on our behalf so they reach our mailbox. Netlify may process data on servers outside the EU/EEA, under Standard Contractual Clauses as its GDPR safeguard.
- Google (Google Analytics) — where you have given cookie consent, Google processes analytics data, including on servers outside the EU/EEA, under Standard Contractual Clauses and Google's own GDPR terms.
- Where relevant to fulfilling a confirmed transport, logistics and delivery partners strictly necessary to carry out that specific transport.
We may also disclose data where required by law, for example to a competent authority upon a valid legal request.
5. How long we keep your data
- Contact form enquiries that do not lead to a transport: kept for up to 12 months, then deleted.
- Confirmed transports: kept for the duration required by Belgian accounting and civil liability law (generally up to 10 years for contractual and accounting records).
- Analytics data (Google Analytics): retained according to our Google Analytics configuration, currently set to delete user-level data automatically after 14 months.
6. Cookies
Cookies are small text files placed on your device. We ask for your consent via the cookie banner shown on your first visit; you can change your choice at any time by clearing your browser's cookies for this site and revisiting.

7. International data transfers
Some of our processors (Netlify, Google) may process data on servers located outside the European Economic Area, including in the United States. Where this happens, it is covered by an approved safeguard mechanism, such as the European Commission's Standard Contractual Clauses, as required by Chapter V of the GDPR.
8. Your rights
Under the GDPR, you have the right to:
- Request access to the personal data we hold about you;
- Request correction of inaccurate or incomplete data;
- Request erasure of your data ("right to be forgotten"), where applicable;
- Request restriction of, or object to, our processing of your data;
- Request a portable copy of the data you provided to us;
- Withdraw consent at any time, without affecting processing carried out before withdrawal;
- Lodge a complaint with the Belgian data protection authority.
